FAQs for transition to new ePortfolio (FourteenFish)

We went through a full risk analysis and at the end of the last contract review and the outcome was that we needed to make enhancements to the online portfolio provision.  A tender process took place and FourteenFish were the successful platform provider.

We are migrating current resident doctors across as we need to ensure a transition is as smooth as possible, limiting the time running and paying for two separate platforms.

Yes, senior psychiatrists and our Psychiatric Resident Doctors' Committee have been involved in the process throughout.

We are introducing two changes at the same time, firstly the Formative Assessment changes to education and our ePortfolio platform. Both are being implemented from August 2026. For more information about Formative Assessment, see: Formative Assessment

Yes, the platform has undergone intense testing and a small group of early adopters have been successfully migrated.

Do we have to pay for FourteenFish on top of our RCPsych Annual fee?

It is currently a benefit of membership, so there is no additional cost.

What membership category should I apply for if I am not in training? 

It depends on your current role and career stage.  If you are not in a training post then you may need to apply for an affiliate membership rather than a Psychiatrist in Training (PMPT).  The college membership team will be able to advise.

What happens to people who have ARCP in December? How will they access information on both systems?

If you are starting your next training year after August 2026 and before February 2027 (i.e. LTFT) we will migrate you at the point of your next training year. February starters will migrate after the winter ARCPs in readiness for starting the next training year in February 2027.

Does that mean February 2026 starters will start using the 14Fish starting February 2027?

Yes, that's correct.

I started ST4 in February 2026 and will have ARCP in November or December 2026, when will the portfolio change for me? After the ARCP or before? 

February starters will move this winter, post-ARCP in readiness for February 2027 changeover.

If we migrated in mid-training year, how can we do the ARCP?

We are trying to avoid this wherever possible, however, if it does happen, and for everyone going through the migration, we have created a 'temporary migration catch up form, to assist you and your supervisor track through evidence and development needs.

If am part of the February 2025 intake, will I change to 14Fish in February 2027 or will I continue my last year ST6 on ePortfolio?

It is likely we will migrate all RDs going into their next training year from February including those going into their final year.

When will I move to 14Fish if you I am due to move on to next training year in April 2027 (LTFT) and due to CCT in 2028?

We will migrate you in April 2027 before you go into your final year as your CCT is after August 2027.

If I start my third training year in February 2027, I can expect to be transferred to 14Fish next year and continue with the Portfolio online until then?

If you are going into CT3 or ST3 in February, we will migrate you this winter post-ARCP.

I am transitioning from core training in England to higher training in Scotland, will I still need to use the new ePortfolio?

Yes, this is a UK wide platform.

I started ST4 in February 2026. I have not started my portfolio entries yet.

You will be migrated before you start ST5 in February 2027, please ensure all your entries are submitted in Portfolio Online before migration.

I’m starting my ST5 year in August 2026, should I wait till I set up my account on 14Fish before starting my workplace based assessments and activities?

Yes please; you will very shortly be invited to join the platform on FourteenFish.

I've received an email to say my Portfolio Online account is going to be migrated to 14Fish shortly, or I'm expecting a FourteenFish account to be set up for me, but I haven't received anything yet; what do I need to do?

You don't need to do anything until you receive an invitation email from support@fourteenfish.com to log into the FourteenFish platform. Please be patient; we are migrating Resident Doctors and Supervisors on a weekly basis.

I have been accepted on an Inter-Deanery Transfer. Does this affect migration of my ePortfolio?

No, this doesn't affect migration. You can update your new deanery when you join the FourteenFish ePortfolio platform if it hasn't yet been updated, but please also email us on ePortfolioTransition@rcpsych.ac.uk so we can update our records.

If your CCT date is August 2027 would you need to switch to FourtennFish for your final year?

No, we are not migrating those RDs going into their final year in August 2026 with a CCT date of August 2027. You will have access to your Portfolio Online account until August 2027. However, if you are LTFT, or have a career break, or extension, which takes your CCT post-August 2027, we may have to migrate you in your final year.

When does this switch take place? I CCT in Jan 2028 and I'm a bit concerned about having everything migrated in time for CCT as well as getting my head around new requirements in a short time frame

Unless you have a career break or extension you will not be migrated.

If my CCT is in Sept 2027 does my portfolio need to migrate?

No, this does not need to switch to the new portfolio.

If you are going into CT3 in August 2026 to finish core training in August 2027, will you be migrated to FourteenFish?

No, CT3 has been considered as a 'final year of training' for migration purposes. We anticipate we will migrate all February starters CT3s along with all other February starters after the winter ARCPs.

I am CT3 finishing core training in Feb 2027 so am I not migrating?

Not at the moment, we would set you up in the FourteenFish system if you're successful in gaining an ST4 post in February or August 2027.

I'm starting CT3 in August 2026, does that mean I will not be migrated? Will I be migrated in February 2027 or will I continue with Portfolio Online until the end of my core training?

You would be migrated in August 2027 if nothing changes and you move into ST4 in August 2027.

If someone is finishing core training before August 2027, but starts higher training in August 2027, will they stay on Portfolio Online until the end of their core training then switch to 14F when they start higher training? And will their old portfolio from core be transferred over even if there is a gap between core and higher Eg out of training/6 month OOP post?

Yes, that is correct they finish up core training on Portfolio Online. When the start higher training their core training records will migrate across to the new platform.

I am going into my final year of training in August 2026; do I have to migrate to the new FourteenFish ePortfolio and meet the formative assessment requirements?

We are introducing two changes at the same time: the Formative Assessment changes to education, and our ePortfolio platform.

Both are being implemented from August 2026. From August 2026, every psychiatric resident doctor will need to ensure they are incorporating patient and carer feedback, Case Presentations and Caseload-based discussions as part of their training.

This will be pro-rata for those entering their final year, and you will need to discuss this with your supervisor; there is an expectation that these are incorporated into your training record (on the ePortfolio) by August 2027.

Patient/carer feedback, for example, only needs to be done once in core and once in higher training.

At the same time, we are migrating resident doctors onto the new FourteenFish ePortfolio platform. If your CCT is on or before August 2027, we will not migrate you onto FourteenFish at this time. If, however, you have to extend your training for any reason, or you are Less Than Full Time and your CCT date is after August 2027, we are likely to migrate you at an appropriate time; usually the commencement of your next training year, post-ARCP.

I am back from mat leave and do 80% so I'm not sure of my ARCP date, so will my change over differ? Who should I contact about this once I know my ARCP date

Please email us eportfoliotransition@rcpsych.ac.uk - we would anticipate it would be as you go into your next training year if it falls before August 2027. If not, we will liaise with you as to an appropriate time.

I am planning to change from LTFT to fulltime from August 2027 which will bring forwards my CCT to January 2028 but this will only be apparent after the change request is made and until then my CCT will be noted as December 2028. Is there any way I can stay on Portfolio Online?

Anyone with a CCT after August 2027 is likely to be migrated over to FourteenFish regardless of where they are in their training stages.

I am going to ST6 (final year) but will be going on Maternity Leave in November 2026- will I be migrated?

It depends on your CCT - please can you email eportfoliotransition@rcpsych.ac.uk before you go on maternity leave.

I’m currently on maternity leave due to resume in October 2026. When I resume, I’ll still be in my CT2 year but coming back LTFT. I will be CT2 until around May/June 2027. How does this affect when I’ll be transitioned and is there anything I need to do?

We anticipate we would transition you in May/June as you go into your next training year.

What about those starting an out of programme for research for 3 years in August? We still need to do a yearly ARCP. Will we be migrating as well? And should we just wait for the email to set up?

Will we still be able to access all our previous data and entries e.g. case logs/reflective pieces on the old portfolio system?

No, but we are confident through testing that all submitted articles are being migrated so you will see them all on your new FourteenFish platform. 

If we are CT2/CT3 at the time of using FourteenFish, do we need to move over all our information and documents for previous years onto FourteenFish too? or just focus on the stage of training we're at?

All documentation in Portfolio Online will be migrated to FourteenFish as read-only searchable entries. You will then start your next training year on FourteenFish and create your educational assessments (WPBAs/Learning Logs etc) on there.

If I'm an ST, will my CT portfolio entries be migrated?

Yes, all entries will be migrated if you completed CT in the last few years. If you completed CT a while ago, please contact us.

Would I add liaison endorsement curriculum if I already completed it this year?

Your selected curricula should be for your current stage of training / year not previous.

Will the previous attainment of competencies cross over from the old portfolio? e.g. previously linked curriculum competencies, or will we have to start all over again?

We have developed the temporary migration form to help with curricula mapping, identifying evidence and development needs. The PO evidence cannot be mapped across onto the FourteenFish ePortfolio, however, going forwards you will be able to continue to do this.

How do we bring current progression and WPBAs from Portfolio Online?

All submitted data included in the current portfolio; including training records, workplace-based assessments (WPBAs), PDPs, and career history, will be migrated to the new platform as PDF documents. If anything is a work in progress, i.e. private to you and hasn't been submitted, we will not be able to migrate it. Please ensure all evidence you wish to migrate is submitted on the Portfolio Online platform.

You will be able to review and search the migrated PDF documents but these will not be editable as we are only migrating resident doctors post-outcome 1 or 2 at ARCP at the moment.

We are confident through testing that all your documentation will be migrated, and we have developed a temporary migration catch-up form, which will help you and your supervisor identify evidence and areas for development as you progress to your next training level on the FourteenFish platform.

Is the compliance passport migrated from ESR at a deanery level? Or do we have to add the compliances on the portfolio separately?

This is not a mandatory requirement of the psychiatry ePortfolio and won't be migrated, however, we hope it is useful to you.

Would any uploaded documents in my current portfolio also be migrated?

Yes. All submitted data included in the current portfolio; including training records, workplace-based assessments (WPBAs), PDPs, and career history, will be migrated to the new platform as PDF documents. If anything is a work in progress, i.e. private to you and hasn't been submitted, we will not be able to migrate it. Please ensure all evidence you wish to migrate is submitted on the Portfolio Online platform.

If I want to complete an addiction CBD or SAPE for CT1 (moving to CT2 in August), should I complete it on the old portfolio or should I complete it on FourteenFish?

ASAP on Portfolio Online please if you haven't already migrated. If you have, then you will be able to do this on the FourteenFish platform in due course.

Will Portfolio Online still be available to access past records or will this be completely closed off?

For Resident Doctors who remain in core or higher Psychiatry training, the new FourteenFish ePortfolio will replace Portfolio Online. Evidence and assessments from previous years of training will be available to view within the new platform.

For those who complete training or move to non‑training roles, read‑only access to Portfolio Online will be available for a limited period following transition. The length of time that read‑only access will be available has not yet been confirmed. Guidance on access timelines and on archiving or downloading relevant documentation will be shared once confirmed.

I am on a February rotation. Should I transfer all my complete/incomplete documents for the past 6months, to FourteenFish?

Please don't set up a FourteenFish account until you're invited to do so. We will migrate all submitted (complete) evidence/document from Portfolio Online in readiness for February.

Regarding the temporary catch-up form for resident doctors to fill in and outline where they are up to; is the intention this should be reviewed by either ES or CS?

It isn't mandatory, but yes, we would anticipate that this would be reviewed and discussed as part of supervision. 

What is meant by 'Number of Reviews'?

FourteenFish allows multiple review periods within one post or stage of training, for example you could have CT1-1 and then CT1-2 if needed.

What if you have a one-year placement?

The dates are fully selectable and you just need to set the period that is relevant to you.

What is the difference between training period and review period?

Stage of training is the level i.e. CT1, CT2 etc. the review period is the period of review, so you could have multiple review periods within one stage of training if required. A review period is the period of time that you're being reviewed by your current supervisors and is signed off/completed once and ESR has been completed. The ARCP would then review the whole stage of training and all review periods.

Is a review period the same length as one rotation? So, if I was on CAMHS placement for 6 months the review period is the start and end of this placement?

Yes, that's correct.

Is there a situation where the review period and post dates differ or are they always the same?

Typically a Review Period will be the same duration as a Post or around six months but it depends on the Resident Doctor's individual circumstances.

The start date of a Review Period will either be the date the Resident Doctor's training year starts or the first day after the Resident Doctor's last ESR meeting.

The end date will be the date of the Resident Doctor's ESR meeting with their Educational Supervisor when the ESR report is signed off.

Where is the clinical supervisor added to the portfolio? There only seemed to be a slot for the educational supervisor. How is access to the portfolio added for relevant people including TPD/HoS?

The clinical supervisor is added when creating the review period and there are two drop down boxes shown. One for ES and one for CS/PS. Access to Heads of Schools and TPDs are managed by the deanery administrators.

Would our supervisors be migrated? If they will be, what happens to those of us that are not being migrated at this time, would our supervisors still maintain the old portfolios to be able to complete WPBAs for us?

Yes, there's guidance on our website as to how to find your supervisor and also how supervisors can set up their account. We are uploading all supervisors from Portfolio Online at the moment and can add new supervisors as needed. Please be patient whilst we do this.

When will supervisors be told about the changes as many seem to be unaware

We have communicated regularly throughout all our educational networks and via Heads of School and held a webinar for supervisors last month for educators which was recorded and has been widely shared. We also have a monthly educators newsletter and include updates on the all members newsletter.

I am a new consultant supervisor and would like to use my portfolio as an example to the resident doctors I supervise. Can I retain access?

You will be able to continue to access Portfolio Online until approximately August 2027, however all your supervision will be done on FourteenFish for most resident doctors from August 2026. You can download individual pieces of evidence from Portfolio Online should you wish to do so. It is advisable that you begin downloading items of value now.

I need to change my supervisor on FourteenFish; how do I do this?

On the portfolio overview page you can see your supervisors. Remember, anything shown in pink is a link you can click on. You can click your current supervisor, remove them, and select a new one as agreed with your school. If your chosen supervisor is not on your dropdown list, contact us via eportfoliotransition@rcpsych.ac.uk; this might be because they are a new supervisor, or are linked to another school and just need to be added.

With regards to our 360 feedback, would other health care professionals who don’t have FourteenFish be able to complete this ?

Yes, other healthcare professionals without a FourteenFish account will still be able to complete this.

Is patient feedback online too? or can we upload paper ones scanned?

SMS, online or you can upload physical responses.

Do colleagues that are nominated to give multisource feedback require a FourteenFish account? how about patient’s feedback?

No they do not, you can email these out to be completed. 

With regards to having people signing things off such as nurse practitioners, psychologists etc do they have to pay to set up a FourteenFish account?

It is free to sign up to FourteenFish in the most basic form. They would not need to pay to complete these items.

How many patient feedbacks do you have to get?

You will need to collect patient feedback at least once in core training and once in higher training. You should aim for six to ten responses. For more information, see our page on Formative Assessment.

Does the patients' feedback have the same timeline as previous mini-PAT?

Patient feedback is required at least once in CT and at least once in ST years, with flexibility to complete more as locally appropriate. For more information, see our page on Formative Assessment.

I am working as a Specialty Doctor or Locally Employed Doctor and am applying for specialty training in the future. Can I retain access to my Portfolio Online account?

You will be able to continue to access Portfolio Online until approximately August 2027. If you are successful in obtaining a specialty training post during that time, we will then migrate your Portfolio Online account to a new ST4 FourteenFish account. We are working with our portfolio providers to offer solutions should you not be successful in re-entering training in 2027, and will keep our FAQs and website updated in due course.

I'm a specialty doctor pursuing the Portfolio Pathway (CESR) route; can I retain access to my Portfolio Online account? Will I be migrated to FourteenFish?

We are only currently migrating portfolios for those doctors in psychiatric training from August 2026. If you are pursuing the Portfolio Pathway (CESR) route to specialist registration, you will be able to continue to access Portfolio Online until approximately August 2027. We are working with our portfolio providers to offer solutions for those doctors deciding not to enter training in 2027, and those pursuing the Portfolio Pathway route. We will keep our FAQs and website updated in due course.

I am a Specialty Doctor and would like to build and maintain a portfolio for professional development and career progression. Can I access an ePortfolio for this?

You will be able to continue to access Portfolio Online until approximately August 2027 for the purposes of collating education evidence for either applying for a higher specialty training post or pursuing a Portfolio Pathway route. If you are successful in obtaining a higher specialty training post in 2027, we would then migrate your Portfolio Online account to a new ST4 FourteenFish account. For PDP purposes, and for Specialty Doctors wishing to progress to a Specialist contract, we would suggest you use the College's CPD submissions service, which supports revalidation and appraisal; this is a benefit of College membership.

When will we receive the log in details? I have not yet received any information on this

The migration process in ongoing over the coming weeks. Please look out for an email from the College and from support@fourteenfish.com to invite you to set up your account. If you're an existing Portfolio Online user you will see pop-ups on your PO account to advise you of specific timelines.

I work with in Forensics and am not allowed to have my phone while working. How will I log in?

We are working with FourteenFish on alternative authentication and will update our guidance shortly. We will not migrate any Higher Forensic RDs until this guidance is available.

I used FourteenFish for completing feedback or assessments for my colleagues in GP training or Foundation training. Will the portfolio login be different?

Your old profile will be merged with your new one. You will have access to anything you have previously reviewed as an assessor and be able to continue your training as an RD.

For those who have changed email addresses when they changed Trust and no longer have access to the first email they registered with first. How would this be addressed?

Please ensure your Portfolio Online and membership accounts are updated with your preferred email.

How do I know if my portfolio has already been migrated?

You will see pop-up messages on Portfolio Online to advise you can no longer access PO. There is then a couple of weeks for your activities to be migrated and your new account on FourteenFish to be set up.

I have lost access to the email address that I was using on Portfolio Online; please can my email be updated?

Please email us at eportfoliotransition@rcpsych.ac.uk with your name, new and old email, deanery and GMC number so we can get this updated. Please also make sure it's correct on your RCPsych membership account.

My Portfolio Online account has been closed but I need to add a WPBA or assessment.

We are now in the process of migrating your ePortfolio from Portfolio Online to FourteenFish and, as a result, have had to restrict your Portfolio Online access. We have contacted all migrating Resident Doctors by email, and two pop-up notifications have also been shared on Portfolio Online. You will be able to add any further assessments to the FourteenFish platform once it is live for you.

Do I need to register with FourteenFish myself, or will an account be created for me?

We are currently setting up all the FourteenFish accounts for existing and new resident doctors and supervisors. You don't need to register with FourteenFish until you are invited to do so; you will receive an email from support@fourteenfish.com when your account is set up. 

Portfolio Online does not send notification emails to RDs when forms are completed by assessors. Does FourteenFish have this feature by sending a notification email once a form is completed?

You will be notified on your dashboard when you log in of any new items that have been completed but additional email notifications can also be selected.

Does FourteenFish have the same option to send reminder emails for assessment sign offs?

If the Resident Doctor has sent the invite to the Supervisor in the current Review Period then they can easily resend the request.

Can you please ensure that the Portfolio Online is locked (i.e. no new SLEs can be added) if that information is not going to be migrated?

Once your portfolio begins to be migrated, your access to Portfolio Online will be restricted and will become 'read only'.

Does FourteenFish have a mobile app?

My telephone number is correct but I am not getting a text message for my two-factor authentication?

This may occur if your phone needs updating; please turn your phone off and on and complete any updates. If it's still not working, please contact the FourteenFish helpdesk at support@fourteenfish.com.

Is there an email to send individual circumstances/questions about migrations?

For questions relating to the transition, please contact eportfoliotransition@rcpsych.ac.uk.

Until we hear from you about the migration; do we just use Portfolio Online as normal? 

Yes, when your individual record is due to be migrated to FourteenFish, a notification will appear within your existing Portfolio Online account advising you of the migration date. You will also receive an email with instructions on how to access the new platform.

Please do not attempt to sign up to the FourteenFish ePortfolio unless you have been invited to do so.

Will feedback be collected from resident doctors after all these changes are made?

Yes, in particular we utilise our Psychiatric Resident Doctors' Committee (PRDC) to engage with resident doctors and understand their views and feedback.
