FAQs for transition to new ePortfolio (FourteenFish)
As we plan the move to our new training portfolio we have compiled frequently asked questions to assist you. For any further queries please contact us.
We plan to launch the new e-portfolio in August 2026. Migration to the new platform will begin from June 2026, in readiness for the platform launch in August.
You should continue using the existing Portfolio Online, as normal to record your training, assessments, CPD, evidence, and career history. The current system will remain fully functional until the new ePortfolio is launched. Once you receive an Outcome One or Two in your ARCP, we will begin the process of migration to the new platform (from June 2026).
Yes. All submitted data included in the current portfolio; including training records, workplace-based assessments (WPBAs), PDPs, and career history, will be migrated to the new platform as PDF documents. If anything is a work in progress, i.e. private to you and hasn't been submitted, we will not be able to migrate it. Please ensure all evidence you wish to migrate is submitted on the Portfolio Online platform.
You will be able to review and search the migrated PDF documents but these will not be editable as we are only migrating resident doctors post-outcome 1 or 2 at ARCP at the moment.
We are confident through testing that all your documentation will be migrated, and we have developed a temporary migration catch-up form, which will help you and your supervisor identify evidence and areas for development as you progress to your next training level on the FourteenFish platform.
For Resident Doctors who remain in core or higher Psychiatry training, the new FourteenFish ePortfolio will replace Portfolio Online. Evidence and assessments from previous years of training will be available to view within the new platform.
For those who complete training or move to non‑training roles, read‑only access to Portfolio Online will be available for a limited period following transition. The length of time that read‑only access will be available has not yet been confirmed. Guidance on access timelines and on archiving or downloading relevant documentation will be shared once confirmed.
We’re now in the process of migrating your ePortfolio from Portfolio Online to FourteenFish and as a result have had to restrict your Portfolio Online access.
We have contacted all migrating Resident Doctors via email and two pop-up notifications have also been shared on Portfolio Online.
You will be able to add any further assessments to the FourteenFish platform once it is live.
No, but there is a function on Portfolio Online to download specific items of evidence as PDFs if you think they are particularly important.
We are confident through testing that all your documentation will be migrated, and we have developed a temporary migration catch-up form, which will help you and your supervisor identify evidence and areas for development as you progress to your next training level on the FourteenFish platform.
For now, continue using Portfolio Online as normal. We also strongly recommend keeping your own personal copies of essential documents (for example, ARCP outcomes and completed forms) in case you need them in the future.
Please ensure that any unassigned documents in Portfolio Online are correctly filed in the appropriate folders, as only filed documents will be migrated to the new FourteenFish ePortfolio.
We also recommend checking that you have the most up-to-date contact details entered with the College membership team and on your existing Portfolio Online account to ensure smooth communication.
Yes. Ahead of the launch, we will provide training and support resources, including online videos, webinars and user guides, to help ensure a smooth transition. We will publish all training resources on the website and notify all users via College e-newsletters.
Yes, the webinars have been recorded. We are finalising our training resources at the moment and these recordings will be available on our ePortfolio pages in due course.
The official launch date will be announced via the College Members’ e‑Newsletter, the PRDC eNewsletter, and through detailed guidance published on the Portfolio Online/ePortfolio and SAS webpages. We are currently on track to launch in line with the August 2026 changeover. We will start to migrate Portfolio Online accounts from June 2026 and relevant Heads of Schools and Resident Doctors will be informed.
When your individual record is due to be migrated to FourteenFish, a notification will appear within your existing Portfolio Online account advising you of the migration date. You will also receive an email with instructions on how to access the new platform.
Please do not attempt to sign up to the FourteenFish ePortfolio unless you have been invited to do so.
We aim to transition all accounts following end‑of‑year ARCPs; from June 2026 in readiness for August 2026 changeover/start dates and completing the migration by August 2027.
While we will seek, where possible, to avoid transitioning Resident Doctors in their final year of training, this may not be feasible in all circumstances.
Some Resident Doctors, such as those on career breaks or whose training is out of sync, may need to transition mid‑training year. We will avoid this wherever possible and will communicate directly with affected individuals.
You don’t need to do anything until you receive an invitation email from support@fourteenfish.com to log into the FourteenFish platform. Please be patient, we are migrating Resident Doctors and Supervisors on a weekly basis.
Please email eportfoliotransition@rcpsych.ac.uk with your name, new and old email, deanery and GMC number to get this updated.
Please also make sure it’s correct on your RCPsych membership account.
No, this doesn’t affect migration. You can update your new Deanery when you join the FourteenFish ePortfolio platform if it hasn’t yet been updated, but please also email eportfoliotransition@rcpsych.ac.uk so we can update our records.
We plan to transition less-than-full-time (LTFT) Resident Doctors at the end of their next complete training year, after August 2026. This will depend on where each Resident Doctor is within their overall programme of training.
Further guidance will be issued via the College eNewsletter and published on the ePortfolio webpages. Where required, Resident Doctors will be contacted individually.
We aim to transition all full‑time Resident Doctors and those commencing core or higher psychiatry training to the new ePortfolio from August 2026.
For psychiatrists who will not be in core or higher Psychiatry training, we strongly recommend downloading all relevant documentation, including final ARCP outcomes and Completion of Training (COT) forms. Read‑only access may be available for a limited period after transition, but there will be no facility to add or edit information, and access will eventually be removed.
Further guidance will be issued via e‑newsletter and published on our ePortfolio and SAS webpages.
We are transitioning all Resident Doctors who are in, or commencing, core or higher Psychiatry training to the new ePortfolio from August 2026.
For Psychiatrists who will not be in a training programme, there will be no facility to continue using Portfolio Online as a live account or to add or edit information once the transition has taken place. We therefore strongly recommend downloading all key documentation, including final ARCP outcomes and COT forms, in advance.
Further guidance will be issued via e‑newsletter and published on our ePortfolio and SAS webpages once confirmed.
We aim to transition Resident Doctors at the end of their training year from August 2026 onwards. Where possible, we will avoid transitioning Resident Doctors in their final year of training, although this may not be possible in all cases.
For Resident Doctors on maternity leave, other career breaks, or working less than full time, the timing of transition will depend on the individual’s position within their overall training programme.
Further guidance will be shared via eNewsletter and published on our ePortfolio webpages. Where necessary, individuals will be contacted directly. All portfolios will be transitioned by August 2027.
We are introducing two changes at the same time, firstly the Formative Assessment changes to education and our ePortfolio platform. Both are being implemented from August 2026.
From August 2026, every psychiatric resident doctor will need to ensure they are incorporating patient and carer feedback, Case Presentations and Caseload-based discussions as part of their training. This will be pro-rata for those entering the final years and you will need to discuss this with your supervisor. There is more information about this on our website, and there is an expectation that these are incorporated into your training record (on the ePortfolio) by August 2027. Having said that, patient/carer feedback for example, only needs to be done once in core and once in higher training.
At the same time, we are migrating resident doctors in training onto a new ePortfolio platform provided by FourteenFish. If your CCT is on, or prior to, August 2027, we will not migrate you onto the FourteenFish platform at this time. If, however, you have to extend your training for any reason, or you are Less Than Full Time (LTFT) and your CCT date is after August 2027, we are likely to have to migrate you on to the FourteenFish platform at an appropriate time, usually the commencement of your next training year, post-ARCP.
We’re only currently migrating portfolios for those doctors in psychiatric training from August 2026 and are currently investigating options for Psychiatrists who are not currently in training, including SAS Psychiatrists and others (for example, those planning to apply to the Specialist Register via the Portfolio Pathway, formerly CESR), who are using Portfolio Online to collate educational and CPD evidence.
If you are using Portfolio Online to collate evidence for an application to higher specialty training and are successful in obtaining a higher specialty training post in 2027, we would then migrate your Portfolio Online account to a new ST4 FourteenFish account.
We are exploring longer-term options for psychiatrists not currently in training, particularly those pursuing the Portfolio Pathway. Further guidance will be issued via eNewsletter and published on our ePortfolio and SAS webpages once confirmed.
For PDP purposes and for specialist doctors wishing to progress to a Specialist Contract, we would suggest you use the College’s CPD submissions service, which supports revalidation and appraisal. These are benefits of College membership.
We are currently investigating options for SAS doctors and other psychiatrists who are using Portfolio Online but are not on a UK training programme.
For those not in core or higher Psychiatry training, we strongly recommend downloading all essential documentation, including final ARCP outcomes and COT forms.
Further guidance will be issued via e‑newsletter and published on our ePortfolio and SAS webpages once confirmed.
You will be able to continue to access Portfolio Online until approximately August 2027. If you are successful in obtaining a specialty training post during that time, we will then migrate your Portfolio Online account to a new ST4 FourteenFish account.
We are working with our portfolio providers to offer solutions should you not be successful in re-entering training in 2027 and will keep our FAQs and website updated with progress.
You will be able to continue to access Portfolio Online until approximately August 2027, however, all your supervision will be done on FourteenFish for most resident doctors from August 2026. You can download individual pieces of evidence from Portfolio Online should you wish to do so.
We’re only currently migrating portfolios for those doctors in psychiatric training from August 2026.
If you are pursuing the Portfolio Pathway (CESR) route to specialist registration, you will be able to continue to access Portfolio Online until approximately August 2027.
We are working with our portfolio providers to offer solutions to those doctors deciding not to enter training in 2027 and those pursuing the portfolio pathway route. We will keep our FAQs and website updated.
We are currently setting up all the FourteenFish accounts for existing and new resident doctors and supervisors.
You don’t need to register with FourteenFish until you are invited to do so.
You will receive an email from support@fourteenfish.com when your account is set up. Further details are on our ePortfolio pages.
